REGISTRATION GUIDELINES

All participants must create an account and register via the Online Registration Form.

Please read the instructions below carefully. Please also consider using a personal email account if your work email is connected to an institute with high security and privacy settings as the email may be transferred to junk folders.

Possibility of active virtual participation is not foreseen. However, Opening and Closing Ceremony and some plenary sessions will be streamed/recorded, and access provided for a special fee.

Each participant will receive a registration number by email after submitting the Online Registration Form. The preferred method of payment is online card payment. As for payments completed by bank transfer, please proceed with the payment transfer only after receiving your registration number.

Registration Fees

All the above fees include a service fee of 28,35 EUR. VAT of 19% (from the service fee) is not included and will be added during the registration process (5,39 EUR).

* In order to qualify for the Undergraduate / Master students fee, please provide proof/student status of the University (e.g. pdf copy of the original inscription at a University or attestation by a professor) in English. The participant must be a student during the duration of the General Assembly.

** To qualify for the PhD. fee, please provide proof/student status of the University (e.g. pdf copy of the original inscription at a University or attestation by a professor) in English. The participant must be a student during the duration of the IUGG 2023.

*** The list of Low and middle-income Countries (OECD) is available here.

**** Retired/Emeritus fee is applicable for delegates over the age of 67.

***** No date indication is required now, delegates will be asked to provide concrete dates once the scientific programme is available.

****** Accompanying person fee is only available as a supplement to existing full registration.

******* Ceremonies and Union lectures streaming fee covers live streaming of selected IUGG GA activities. The recording will be available after the Assembly to all registered delegates.

Please make sure to pay your registration fee before the deadline applicable for the selected registration type. If your payment is not received in due time, the later fee will be automatically applied.

Unpaid or partially paid registration will not be considered as valid until fully paid.

All registration deadlines are applicable considering the local time (CET/CEST).

Full Registration Fee Includes:

• Admission to all sessions, poster and exhibition area

4-Day Pass Registration Fee Includes:

• Admission to sessions for consecutive 4 days, poster and exhibition area
• GA Materials
• Attendance at the Opening and Closing Award Ceremony

One-Day Pass Registration Fee Includes:

• Admission to sessions for the chosen day, poster, and exhibition area
• GA Materials

The Accompanying person’s fee includes:

• Entrance to the Assembly Venue incl. its Exhibition and Poster Area
• Admission to the Opening Ceremony and Welcome Reception (13 July 2023), and to the Closing Ceremony and Farewell Reception (19 July 2023)
• Admission to the Union Lectures on 14, 16, and 18 July 2023 (no admission to the Scientific Symposia)

Group Registrations

Group registrations cannot be processed online under one email address identification; each participant needs to have his/her profile set up with a unique email address. Please contact the IUGG 2023 Secretariat for invoicing preferences.

Payment Details

All fees are to be paid in EUR (€), free of all bank charges and the registration fees are collected on behalf of the Helmholtz-Zentrum Potsdam, Germany, VAT-ID: DE138407750

By Bank Transfer

Payment by bank transfer was available until 21 June 2023. Currently, all payments can be done only by credit/debit card.

Accepted Credit / Debit Cards

In the unlikely event of a rejected online credit/debit card payment, the delegate is recommended to return to his/her registration online and try to process the payment again. Should the payment issue persist, the participant is advised to contact the card issuer/bank first to check for any potential block on the online transaction. If so, once this is removed it will be possible to pay via the online payment gateway.

Final Invoice

The Final invoice can be downloaded from the Online Registration Form three weeks after the registration is confirmed and paid in full. If you need assistance with the invoice, please contact the IUGG 2023 Secretariat. The final invoice will be issued based on the details provided during the registration process (step Contact/Invoice details). Any change of such details (name, address, VAT number, etc.) is possible only within 3 days from the date of registering and is subject to a 20 EUR fee.

Cancellation of Registration

• Until 10 June 2023 – a 60 EUR administration fee will be deducted from all refunds
• From 11 June 2023 – no refund can be processed

General Cancellation Conditions

• All cancellations must be notified in writing by email to IUGG 2023 Secretariat and cannot be done online or over the phone
• For any change of name, an administrative fee of 20 EUR will be charged

Insurance

The registration fee does not include participant insurance against accidents, sickness, cancellation, theft, property damage, or loss. Participants are advised to take out adequate personal insurance.

Cancellation or Modification of the Meeting Due to Force Majeure

In the event of a force majeure situation, CZECH-IN s.r.o. reserves the right to alter or cancel the event without prior notice, including any change of the time and/or venue of the meeting. Any occurrence of a force majeure event shall be communicated as soon as reasonably possible from the decision time. Force majeure includes any circumstance beyond the reasonable control of CZECH-IN s.r.o. which prevents or impedes the realization of the meeting. This includes but is not limited to, government action, war or hostilities, riot or civil commotion, plague, or other epidemics such as SARS, bird flu, COVID 19, earthquake, flood, hurricane, cyclone, fire or other natural physical disasters, explosion, accident or breakdown, strike, lack of the usual means of transportation or terrorism.
